FINANCE MANAGER Kids Eat Smart Foundation Newfoundland and Labrador Location: St. John’s, NL
Kids Eat Smart Foundation Newfoundland and Labrador is a provincial charity dedicated to ensuring all school age children have access to nutritious food at school, so they are well nourished and ready to learn.
We are seeking a detail-oriented and highly organized Finance Manager to oversee the organization’s financial operations and support our mission of helping children start their day nourished and ready to learn.
Position Summary
The Finance Manager is responsible for the day-to-day financial management of the organization, including school grant administration, accounts payable and receivable, payroll coordination, financial reporting, and audit preparation.
Working closely with the Executive Director, Board Treasurer, and Finance Committee, this role ensures financial processes are accurate, transparent, and aligned with nonprofit and CRA requirements.
Key Responsibilities
School Grants Administration
•
Process, review, and record school year-end financial reports.
•
Assess and distribute school grants based on approved reporting and program criteria.
•
Process progress report payments and maintain accurate grant records in the school database.
•
Reconcile school grant accounts including matching, sustaining, and designated grants.
•
Respond to inquiries from schools regarding financial matters.
•
Process and track gift cards and maintain records of serial numbers for distribution to eligible schools.
•
Reconcile and maintain accurate financial records related to school funding.
Donations and Revenue Processing
•
Record and process donations received by mail, credit card, and other channels.
•
Ensure designated donations are accurately recorded and distributed to the appropriate school programs.
•
Maintain accurate donor financial records and reconcile with the donor database monthly.
•
Process direct mail and phone-in credit card donations.
Payroll Administration
•
Coordinate payroll processing with the external payroll provider.
•
Track payroll changes and submit updates to the payroll service provider.
•
Review payroll reports and record entries in the accounting system.
•
Process and reconcile RRSP contributions.
•
Assist with year-end payroll reporting including T4 preparation and distribution.
Accounts Payable
•
Review and process invoices received by mail or email.
•
Confirm purchase authorization when required.
•
Record invoices, allocate appropriate tax and project codes, and process payments.
•
Prepare cheques and coordinate approvals and required signatures.
Budgeting and Cash Flow
•
Monitor cash flow and provide updates to the Executive Director and Treasurer.
•
Support annual budget preparation and enter monthly budget figures into the accounting system.
•
Assist with financial planning and reporting.
Monthly Financial Operations
•
Process recurring credit card donations and recurring transactions.
•
Record rent, insurance, and other regular payments.
•
Reconcile bank accounts and record service charges and interest.
•
Maintain accurate records for monthly financial reporting.
Financial Reporting and Board Support
•
Prepare financial reports for Finance Committee meetings.
•
Prepare financial materials for Board of Directors meetings.
Annual Reporting and Compliance
•
Prepare and submit all annual filings including:
o
CRA T3010 Charitable Return
o
HST reporting
o
Notice of Directors
o
Workers Compensation reporting
•
Track and maintain required financial documentation.
Special Events Financial Support
•
Manage financial tracking for fundraising events.
•
Process sponsorship and attendee payments.
•
Ensure receipting complies with CRA charitable guidelines.
•
Reconcile event funds and prepare financial summaries following events.
Audit Preparation
•
Prepare financial records and documentation for the annual audit.
•
Work directly with the Foundation’s Auditors to answer, explain and inform an any questions or documentation required.
•
Post year-end journal entries and provide requested documentation to auditors.
•
Review draft financial statements and audit reports.
Equipment Requests for Schools
•
Coordinate equipment requests with schools.
•
Process orders and confirm payment methods.
•
Communicate delivery expectations and follow up to confirm receipt.
Qualifications
•
Diploma or degree in Accounting, Finance, or Business Administration.
•
Minimum 3–5 years of financial management or accounting experience, preferably in the nonprofit or charitable sector.
•
Experience with accounting software is required, (Sage Simply Accounting / Sage 50).
•
Strong knowledge of financial reporting, payroll processing, and CRA compliance requirements for charities.
•
Advanced proficiency in Microsoft Excel and Microsoft Word and Office 365.
•
Exceptional attention to detail and strong organizational skills.
•
Ability to manage multiple priorities and meet deadlines.
•
Strong communication skills and ability to work collaboratively with staff, schools, and volunteers.
